Do I need to create an account to use any of the tools?

No account of any kind. There's no login, no email capture, and nothing to set up — open the page and every tool, including the invoice generator, is ready to use immediately.

Can I use this on my phone?

Yes. The whole page, including the invoice builder and every calculator, is built to work on a phone screen.

Which browsers does Ledgerly work in?

Any modern browser — Chrome, Safari, Firefox, Edge, and their mobile equivalents. It uses standard JavaScript and CSS with no plugins, so there's nothing extra to install.

Does it work without an internet connection?

Once the page has loaded, every calculation runs locally in your browser. You'd only need a connection again to reload the page or fetch its fonts, so it works fine on flaky Wi-Fi.

Is there an API or way to automate these tools?

Not currently. Ledgerly is a browser-based page you interact with directly; there's no API endpoint for scripting these calculations elsewhere.

Is my financial data stored anywhere?

No. Everything runs in your browser using JavaScript. Nothing you type — client names, prices, or invoice totals — is sent to a server, logged, or saved.

Does Ledgerly save my invoice if I accidentally close the tab?

No. Nothing is saved between visits, by design. Print or save your invoice as a PDF before you close or refresh the page if you want to keep it.

Is it safe to enter real client names and prices?

Since processing happens entirely on your device and nothing is transmitted, entering real figures is no riskier than typing them into a local spreadsheet.

Does the site use cookies or track what I calculate?

No cookies are needed to run the tools, since there's no account or saved state — the page behaves identically for every visitor.

Why does the page ask for an internet connection at all if nothing is uploaded?

The initial page load fetches the HTML, CSS, and web fonts. After that, every tool runs from code already sitting in your browser — no further requests are made as you type or click.

Can my accountant or client see what I typed before I share it?

No one but you sees it unless you print, download, or copy it yourself and send it on.

How do I create an invoice?

Fill in your business details, your client's details, add one or more line items with quantity and price, set any discount or tax, and the total updates automatically as you go.

Can I add or remove invoice line items?

Yes. Use "Add item" to add a row, and the × button on any row to remove it.

How do I turn my invoice into a PDF?

Use "Print / Save as PDF" — your browser's print dialog lets you choose "Save as PDF" as the destination instead of printing to paper.

Does the invoice total update automatically?

Yes. Subtotal, discount, tax, and the total due all recalculate the moment you change any field or line item.

Can I apply both a discount and tax to the same invoice?

Yes. The discount is applied to the subtotal first, and tax is then calculated on the discounted amount, which matches how most businesses invoice.

What should I put in the invoice number field?

Any format you use consistently works well — many businesses use something like INV-0001 and increment it for each new invoice they send.

Is there a template for recurring invoices?

Not a saved template, since nothing persists between visits. Keep a copy of a downloaded PDF as your own reference, or re-enter the recurring details each time.

What happens if I leave the due date blank?

The invoice still calculates correctly. The due date field is only there for display and for your client's reference.

Profit Margin

What's the difference between margin and markup?

Margin is profit as a percentage of the selling price. Markup is profit as a percentage of the cost. The same dollar profit gives a lower margin percentage than markup percentage.

How do I calculate my profit margin?

Enter your cost and selling price in the "Know your margin" section and the tool shows profit, gross margin percentage, and markup percentage together.

What's a healthy profit margin?

It varies widely by industry — retail often runs 20-50%, while services and software can run much higher. Compare against others in your specific industry rather than a universal benchmark.

How do I figure out what to charge for a target margin?

Use the "Price for a target margin" section: enter your cost and the margin percentage you want, and it works out the selling price you'd need.

Why can't I enter a margin of 100% or more?

Margin is profit divided by selling price, so it mathematically can't reach or exceed 100% — that would mean the item cost nothing at all to provide.

Does the margin calculator account for taxes or transaction fees?

No, this is a simple cost-vs-price calculation. Subtract any transaction fees or taxes from your price first if you want a fee-adjusted margin.

Is gross margin the same as net margin?

No. Gross margin only accounts for the direct cost of the item. Net margin also subtracts overhead like rent, salaries, and marketing.

ROI

How is ROI calculated here?

ROI is your net profit — final value minus initial investment — divided by the initial investment, shown as a percentage.

What does "annualized ROI" mean?

It converts your return into what it would be if it had happened over exactly one year, so you can compare investments held for different lengths of time.

Can I use this for stock or business investments?

Yes. It works for any investment where you know the amount put in and the value or profit it returned — stocks, equipment, a marketing campaign, or a whole business.

What if my investment lost money?

Enter a final value lower than your initial investment. ROI will show as negative, which is expected and correct.

Does ROI account for the time value of money?

No, this is a simple ROI calculation. For time-adjusted comparisons, look at metrics like IRR or NPV, which this calculator doesn't cover.

Why is my annualized ROI showing a dash?

This appears when a loss is large enough (100% or more) that annualizing it isn't mathematically meaningful — double-check your final value figure.

What is a break-even point?

It's the number of units you need to sell for your revenue to exactly cover your costs, before you start making a profit.

What counts as a fixed cost vs a variable cost?

Fixed costs stay the same regardless of sales volume, like rent or salaries. Variable costs change with each unit sold, like materials or packaging.

Why do I need contribution margin for break-even?

It's the amount each unit contributes toward covering fixed costs after its own variable cost is paid — break-even is built directly on this figure.

What does the price and variable cost warning mean?

Your price per unit must be higher than your variable cost per unit, or every sale loses money and there's no break-even point at all.

Does break-even revenue account for tax?

No, this is a pre-tax break-even calculation based on the price and costs you enter.

How can I lower my break-even point?

Increase your price, reduce your variable cost per unit, or reduce your fixed costs — any of the three lowers the number of units you need to sell.

Discount & Tax

In what order are discount and tax applied?

The discount is subtracted from the original price first, and tax is then calculated on the discounted amount.

Can I calculate tax without a discount?

Yes. Leave the discount field at 0% and it works purely as a sales tax calculator.

Does this handle tax-inclusive pricing?

No, this calculator adds tax on top of the price you enter — it doesn't back a tax amount out of a total that already includes tax.

Can I stack multiple discounts?

Enter a single combined discount percentage; the calculator applies one discount rate at a time.

What tax rate should I use for my area?

Check your local or state tax authority for the correct sales tax rate — this tool doesn't look up rates automatically.

Why is my final price higher than the original?

This happens when the tax percentage is larger than the discount percentage, so the tax added back exceeds what the discount removed.

How is the loan monthly payment calculated?

It uses the standard loan amortization formula, based on your loan amount, annual interest rate, and term in months, assuming equal monthly payments.

What does "total interest" include on the loan calculator?

It's the sum of every interest portion across all your payments — total payments made minus the original loan amount.

Can I use the loan calculator for a personal loan too?

Yes, the amortization math is the same for any fixed-rate, fixed-term loan, whether it's for a business or personal.

What happens if I set the interest rate to 0%?

The calculator switches to a simple division of the loan amount across the term, with no interest added.

Does this account for fees or insurance added to a loan?

Why isn't 40 hours a week fully billable?

Most freelancers spend real time on admin, marketing, and finding clients. A lower billable-hours number gives a more realistic rate than assuming every working hour is billed.

What should I put for target profit margin on the rate calculator?

It's optional — leave it at 0% to price purely for income and expenses, or set a margin to build in a cushion above break-even for your business.

Should I use the calculated rate for every client the same way?

It's a starting baseline. You can still adjust individual project rates for scope, urgency, or a client's budget.

Does the rate calculator account for taxes I'll owe?

No. Add your expected tax burden into "desired annual income" or "business expenses" if you want the rate to cover it.

What should I include as a monthly recurring cost?

What does the "6-month runway" figure mean?

It's your one-time costs plus six months of recurring costs — a common rule-of-thumb estimate for how much cash to have before launch.

Can I add more than one row for the same cost category?

Yes. Add as many rows as you need in either list — split a category into more detail if that's useful to you.

Does the startup cost estimator include revenue projections?

No, it estimates what you'll spend, not what you'll earn. Pair it with your own sales forecast to see when you'll be profitable.

Tips & Troubleshooting

My totals show a dash instead of a number — why?

This usually means a required field is empty, or a value would require dividing by zero, like a break-even calculation where price equals variable cost.

The print button didn't open a PDF option — what should I check?

"Save as PDF" is usually a destination inside your browser's normal print dialog rather than a separate button — check the destination or printer dropdown there.

Can I switch tools without losing what I typed?

Yes. Each tool keeps its own inputs while you're on the page, so switching tabs and coming back won't clear them. Reloading the page will, since nothing is saved.

How do I change the currency symbol shown in results?

Use the currency selector above the tools — every calculator's output updates to the new symbol immediately.

Why did my numbers round oddly?

Currency figures are rounded to two decimal places and percentages to one decimal place for readability. The underlying calculation still uses your exact entered values.
